Patients who are on a payment plan may request that new bills be added to their current payment plan after the plan was set up. Flywire makes this process quick and easy for Staff Experience users to do for them!
How can you tell if an account is on a payment plan?
There are two main ways for a Staff Experience user to see if an account is on a payment plan:
1. Information will display in the Payment Plan section of the account page, such as:
- Status (Good Standing or Delinquent)
- Plan Type (Auto-Debit or Manual)
- Next Scheduled Payment Amount
- Next Scheduled Payment Date
- # Payments Remaining
2. The account page will show the Manage Plan button. This turns into a dropdown where the Staff Experience user is able to perform a series of actions around the payment plan.
How can you tell if one or more bills are on a payment plan?
If a bill is already on a payment plan, the Staff Experience user will notice two things on the Open Bills tab of the account:
- There is a calendar icon by the bill number in the Bill # column.
- The payment field is grayed out in the Payment Amount column.
How to add new bills onto a current payment plan
- In the Staff Experience, search for the patient account.
- Check the Open Bills tab to see which bills are currently on a payment plan and which bills are not on a payment plan.
- Hover over the Manage Plan button and click Modify Plan.
- In the Modify Plan window, you will see a high level view of the current plan and how it will be updated with the new balance.
- Select the payment plan option based on the conversation with the patient and what they are able to pay. Some users may see predetermined plan offers and some users may have the ability to enter a customized plan amount. Follow the suggested route for your organization.
- Verify the Start/Repeat date (when each payment is due each month).
- Click Save.
- If prompted, enter billing information on the next screen, and provide an email address so that the patient receives an email confirmation.
- Receive the new payment plan confirmation screen.
They are all set! The new payment plan amount and schedule will take effect immediately.
The new schedule can be found on the patient account screen under the Manage Plan button by clicking View Plan Schedule.
